Full Job Description

We are seeking to appoint a behaviour and referral administrator to join our friendly and experienced Operations team. This is a new role for the academy and it has been created due to our expansion and to give direct support to our Senior leadership team. The main focus of this role will be to coordinate referrals into the academy and also ensure that administration around behaviour is effective and well organised.

Job details

Main purpose

To support the senior leadership team to maintain effective communication with our referrers and to manage and coordinate referrals into the academy alongside the administration of behaviour across the academy. This important post will involve working with referrers, staff, parents/carers and other young people.

Duties and responsibilities

Keep a log of student placements in all years

Be main contact for referrers for placement enquiries

Any concerns on the referrals in regards to behaviour to liaise with Assistant Principal - PDBW

Any concerns on the referrals in regards to SEND needs to liaise with Assistant Principal - SENDCO

Keep a folder up to date with all current referral forms

Update referral pack

Ensuring Service Level Agreements are filled out and in central folder

Attending and occasionally taking minutes in meetings.

Be main contact for student placement enquiries

Keep a list of all current referrers and inform them with relevant information eg Taxis etc

Fill out all suspension letters (Liaise with Assistant Principal: PDBW)

Fill out all behaviour and engagement letters (Liaise with Assistant Principal: PDBW)

Update the systems with information gained through the referrals forms including:- Attendance, SIMs, referral numbers, student data, student contacts, student folders, registers, induction dates, social care information, school invoices

Create calendar invites for inductions

Create student emails

Send out paperwork to to the referrers in a timely manner

Work directly with referrers by phone and in person to promote the academy and chase outstanding documentation

Give tours of the academy to prospective students and parents when required

Coordinate meetings with referrers and SLT when required

Any other duties as reasonably required by the Principal

Administration

Maintain accurate records of interventions and relevant meetings

Share information with SLT and the wider staff to ensure that communications are effective across the academy.

Facilitate the transfer of relevant student information inside and outside the school

Make sure that student medical information is updated and that staff are aware of the individual medical needs of students

Complete relevant paperwork required by external agencies

Other areas of responsibility

Safeguarding

Work in line with statutory safeguarding guidance (e.g. Keeping Children Safe in Education, Prevent) and our safeguarding and child protection policies

Work with the designated safeguarding lead (DSL) to promote the best interests of students, including sharing concerns where necessary

Promote the safeguarding of all students in the school, Effective communication including Monday briefing, Wednesday and Friday briefings, line management meeting and faculty meetings.

and training

Ideally GCSE or equivalent level, including at least a Grade C in English and maths

Experience

Experience working in a school environment or other educational setting

Experience working with children / young people with additional needs (e.g. SEND, behavioural, mental health)

Experience supporting and working with parents of young people with additional needs

Experience working with colleagues and external stakeholders (e.g. from external agencies)

Skills and knowledge

Good listening skills

Effective written and verbal communication skills

Experience in the use of SIMs

Able to use IT systems and to conduct analysis and produce reports

Able to create good relationships with referrers, children, staff, parents and external agencies

Stone Soup Academy is an outstanding, award winning, alternative provision based in the centre of the historic Lace Market in Nottingham City. We meet the needs of up to 110 young people from 11 - 16 who have been either excluded or at risk of exclusion from mainstream education. We work with over 30 local schools. Many of our pupils are emotionally vulnerable and have behavioural needs. Salary: up to £26,000 FTE

Contract type: Permanent Term 41 weeks
